How to Negotiate Recycled Plastic Quotes and Compare Landed Cost

PlasticSetu sourcing desk · 15 Oct 2026 · 5 min read · negotiation · landed cost · buying

Two quotations for what looks like the same recycled granules can differ a great deal once you add everything up. One includes freight, the other is ex-works. One is valid for a week, the other for a day. One asks for full advance, the other offers credit after the first order. Comparing the headline rate alone is the most common mistake buyers make.

This guide explains how to build a landed cost, compare quotes fairly and negotiate in ways that suppliers respect.

Start with a clear requirement

Negotiation is much easier when every supplier is quoting on the same specification. Before you ask for prices, write down polymer, form, colour, MFI range, any ash or density limits, packing, quantity, delivery location and required date. Our guide on how to write a plastic RFQ gives a template.

If one supplier quotes on a different grade, ask them to quote on your specification as well, or note the difference clearly in your comparison.

Build the landed cost

Landed cost is what the material actually costs you at your factory gate. Break each quote into the same components:

ComponentWhat to confirm
Basic ratePer kg or per MT; ex-works or delivered
GSTShown separately on the quote and invoice, at the applicable rate for the HSN code
FreightIncluded or extra; who books the truck; part load or full load
Loading and unloadingWho pays for labour at each end
PackingBag type and whether packing is charged or returnable
Payment termsAdvance, part-advance, on delivery, or credit days
ValidityHow long the rate holds
Lead timeDays from order or payment to dispatch

GST should always be shown separately so you can see the basic rate clearly and claim input credit where eligible. Ask your accountant about the correct treatment for your case. See HSN code for why classification matters.

Factor in quality cost, not just price

A cheaper lot that needs more drying, more filtration, a higher virgin blend or causes more rejects can cost more in the end. When comparing:

  • Look at ash content and moisture: you pay for filler and water by weight.
  • Consider MFI consistency: variation means more machine adjustments and scrap.
  • Count the rejection rate from earlier lots if you have bought from the supplier before.

Our quality checklist and the post on what drives recycled plastic prices help explain why quotes differ.

Samples before commitments

Never negotiate a large order on a quote alone. Ask for a sample, run a trial, and only then discuss volume. Agree in writing that the bulk supply will match the approved sample, and keep a retained sample. This gives you a fair basis for raising any quality issue later, and suppliers generally prefer it too because it reduces disputes. See sampling and lot acceptance for how to do this properly.

What you can reasonably negotiate

  1. Volume commitments: a regular monthly offtake is worth more to a supplier than one-off orders. Offer a realistic schedule rather than an inflated one.
  2. Payment terms: faster payment is valuable to recyclers, who often work on tight cash cycles. Offering advance or prompt payment can be a stronger lever than pressing on rate.
  3. Rate validity: for regular buyers, ask whether the rate can be held for a set period or linked to an agreed reference.
  4. Packing and freight: full truck loads, standard bags and flexible dispatch dates reduce the supplier's cost.
  5. Quality terms: tighter specs may cost more; decide which limits really matter to your product.

Habits that build good supplier relationships

  • Respond within the quote validity period, or ask for a revised quote rather than expecting an expired rate.
  • Be clear about whether you are comparing quotes or ready to order.
  • Pay on the agreed terms. Reliability gets you better treatment when material is short.
  • Raise quality issues promptly, with photos and test results, not weeks later.
